    7 a.m. - 3:30 p.m. Monday – Friday. This position is customer-focused and may require the ability to adjust schedule to meet college, campus, and customer needs.

  • Overview and Responsibilities

    Under the leadership of the Campus Manager, this position is responsible for providing administrative support for CVTC’s Menomonie campus in the areas of programming/scheduling, registration and financial processing/reporting, facility concerns and coordination, office staffing, and general student/public relations. This position also serves as a project coordinator for Business and Industry (B&I) Services, working with many program areas at the college in setting up and processing employer-paid training contracts.



    • Serve as the first point of contact at the Menomonie campus by greeting and assisting students, employers, and other customers in person and via phone or email.
    • Perform general clerical functions for campus and campus staff (e.g., answer phones, data entry, schedule appointments and campus events, order office supplies, process purchase requisitions).
    • Perform administrative and decision-making tasks in the absence of Campus Manager.
    • Provide support and information relating to budgeting and strategic planning and identification of educational needs in the geographical area served by the regional campus.
    • Perform facility-related duties to include opening/closing, assisting with minor multimedia issues in classrooms, and acting as point of contact for maintenance and facility related issues and incident reporting.
    • Assist students and employers with registration, provide general course offering information, and communicate changes in class schedules.
    • Serve as liaison to CVTC Student Central in answering student questions or concerns regarding financial aid, courses, etc.
    • Notify students and employers of canceled classes and generate refunds.
    • Record and complete add/drop forms and withdrawals in Banner/Lumens.
    • Facilitate the registration process for Group Dynamics course including monitoring student attendance for Wisconsin Department of Transportation reporting and enter drivers’ record information in AnTSS.
    • Serve as the B&I project coordinator for the assigned B&I contract manager.
    • Assist with processing training contracts and tracking of proposals/data through the B&I Customer relationship management (CRM) system and other reporting.
    • Provide fulfillment duties for B&I contract training (e.g., room reservations and food order and delivery arrangements).
    • Assist B&I Contracting Assistant with entering and processing B&I contracts as needed.
    • As a part of the B&I phone group, receive and respond to calls regarding B&I questions.
    • Process weekly bank deposit and monitor cash drawer for proper money exchange.
    • Provide work direction of part-time evening support staff as needed.
    • Serve as backups to other regional campus assistants.

    • Intermediate knowledge of and skills with technology including software programs for communication, data collection, and decision making including, but not limited to, Microsoft Office Outlook, Word, and Excel and Banner.


    • Associate’s degree from an accredited college in Executive Assistant or related program with specialized training in areas such as customer service, office technology and/or project management.
    • Minimum of two years of experience in a professional office setting.
