    Hourly Pay Rate/Salary
    Based on hourly staff, level 4: starting rate of $15.46 and midpoint of $17.78. Pay rate will be commensurate with qualifications.

    7:30 a.m. - 4:00 p.m. Monday - Friday. This position is customer-focused and may require the ability to adjust schedule to meet campus and customer needs.

  • Overview and Responsibilities

    Under the leadership of the Campus Administrator and in cooperation with the Program Assistant, this position provides administrative support for CVTC’s River Falls campus and assists students and other customers as the first point of contact for the campus.

     

    Responsibilities:

    • Serve as the first point of contact at the River Falls campus for telephone, walk-in, and email customers for the following student services: records and registration, admissions, academic advising, financial aid, and general College information.
    • Records and Registration:
      • Assist students with and forward requests for transcripts, enrollment, verifications, etc. to processing staff.
      • Process address and legal name changes.
      • Provide general information on student record holds.
      • Provide student direct information as requested, while abiding by Family Educational Rights and Privacy Act (FERPA) policies.
      • Provide phone verification of enrollment and/or graduation.
      • Take pictures for student IDs.
      • Assist customers with questions regarding student academic progress, current status, and next steps for appeal.
      • Document release authorization forms for students per FERPA guidelines.
      • Register students into classes and create a student record when appropriate.
      • Drop students from classes, apply refunds, and complete appropriate paperwork.
      • Provide general information on registration activities to include registration dates and times, withdrawal process, etc.
      • Print and mail student schedule/bills.
      • Provide assistance on course searches.
      • Perform prerequisite overrides as approved by an academic advisor.
      • Perform closed section and third course repeat overrides as approved by dean/associate dean.
      • Accept credit card and cash payments, apply to student accounts.
      • Process registration for Group Dynamics Traffic Safety School including monitoring student attendance for Wisconsin Department of Transportation reporting.
      • Open, balance, and close cashiering sessions.
      • Participate in all ongoing training sessions in order to maintain a high level of efficiency in River Falls.
      • Troubleshoot registration errors, system issues, and inquiries concerning registration.
    • Admissions:
      • Provide information on program and admission requirements.
      • Assist prospective students with application process.
      • Mail catalogs, brochures, maps, etc. as requested.
      • Sort, document receipt of, and distribute admissions documents.
      • Accept payments for application fees, tuition, HESI testing, GED testing, and other various student account payments.
    • Assessment/Advising:
      • Schedule HESI and ACCUPLACER assessment appointments and assist students to register online.
      • Process payment for HESI and ACCUPLACER assessments.
      • Provide information on test cutoff scores for courses and programs.
    • Financial Aid:
      • Provide assistance on financial aid application process.
      • Inform students on loan entrance/exit counseling process.
      • Provide information on missing documents or incomplete information in application process.
      • Inform students on location for processing master promissory note.
      • Submit forms to Financial Aid office and document in Banner database.
      • Provide information on the courses and programs not eligible for financial aid.
      • Provide information on Foundation and private scholarship application process.
      • Answer questions regarding financial aid fund disbursement, award letters, and FAFSA updates.
    • Track and categorize walk-ins, emails, and phone calls.
    • Assist students with accessing College portal, Student Information Systems (SIS), email, and other student systems.
    • Serve as backup for the Program Assistant.
    • Inform customers about the services and resources available at the College.
    • Perform/escalate emergency tasks as appropriate.
    • Schedule appointments.
    • Provide clerical support to other departments and faculty as appropriate.
    • Respond to email inquiries from students, staff, faculty, and community.
    • Responsible for building access and security.
    • Perform janitorial jobs if necessary.
    • Provide general support, troubleshooting, and maintenance of computer and other office and classroom equipment.
    • Provide backup support for Extender indexing.
    • Order supplies for the campus.
    • Assist with career tours, recruitment events, graduation, and special projects, as requested.
    • May direct activities of work study students.
    • Promote College activities and events on behalf of recruitment and marketing departments.

    Required Knowledge, Skills and Abilities:

    • Ability to provide accurate information in a courteous, friendly, concise, and approachable manner.
    • Thorough knowledge of general office policies and procedures.
    • Ability to perform general keyboarding with a minimum of 40 gross words per minute and a minimum of 95% accuracy.
    • Ability to learn and adhere to College organization, policies, and procedures related to position.
    • Ability to deal with and manage conflict.
    • Ability to work effectively both independently and in a team environment.

    • Intermediate knowledge of and skills with technology including software programs for communication, data collection, and decision making including, but not limited to, Microsoft Office Outlook, Word, and Excel.

    Qualifications

    • Minimum of a technical diploma in Office Assistant or related field, associate’s degree in Administrative Professional or related field preferred.
    • Two years of experience in a professional office environment.
    • Experience providing superior customer service in a challenging, high volume, multitasking environment.
